Member Services Coordinator

NSPA’s Member Services Coordinator ensures our members have an exceptional and seamless experience when joining, renewing, and seeking support.  Specifically, the Member Services Coordinator is responsible for all administrative components of membership including application processing, activation/cancellation, dues billing, data management, and reporting, as well as providing general member assistance. This position is accountable for implementing processes to ensure continuity, ongoing accuracy of membership records and dues payments; and, maintaining the overall integrity and reliability of data in NSPA’s data management system.



Key Responsibilities Include:

Member Recruitment

  • Responds to membership inquiries and performs active follow up to ensure conversion of the prospect into a member.
  • Identifies prospect opportunities through NSPA sponsored or other relevant industry events and ensures marketing materials are present.
  • Represents NSPA at conferences.
  • Develops strategy to contact prospects who attend programs and/or purchase products and services. Includes direct mail and telephone marketing.
  • Actively searches websites for prospects and inputs information into database.

Member Retention

  • Manages the new member engagement experience, including the New Member Welcome Committee
  • Ensures accurate and up to date member information in the database.
  • Implements campaigns directed at renewing lapsed and expired members.
  • Responds to telephone and electronic inquiries concerning membership and services.
  • Develops and leads the new member and/or prospective member orientations.


  • Processes mail and supports general accounting through bank deposits and AP/AR preparation.
  • Provides administrative support to NSPA operations as directed by the Executive Director.
  • Provides administrative support as needed for the NSPA’s annual conference.
  • Manages NSPA’s charitable solicitations/fundraising renewal process
  • Prepares reports for the ED and board as directed
  • Other duties as assigned.




  • Offer high quality and consistent customer service to NSPA members, potential members, board of directors, and other stakeholders.
  • Maintain high professionalism by displaying a positive attitude, engaging in open and honest communications, and treating others with respect.
  • Engage with colleagues as a team player and provide support, encouragement, advice, and understanding, as needed.
  • Commit to ongoing learning and professional growth by taking initiative and engaging in additional responsibilities, as appropriate.
  • Maintain confidentiality with sensitive information about the organization and its stakeholders.
  • Maintain records electronically, according to the guidance and policy of the organization.
  • Perform responsibilities in alignment with organizational mission, goals, and strategic plan, as appropriate.
  • Travel approximately 2-4 times per year.
  • Bachelor’s degree preferred; three years’ experience working for an Association also preferred.
  • Experience working with databases required, preferably membership databases such as YM.
  • Experience working remotely preferred.

Employment with the NSPA requires employees to spend several hours at a time sitting at a desk; stand up to eight or more hours associated with the annual conference and other events, to operate computers, phones, and other technology; occasionally moving boxes up to 50lbs; assemble stage signs; and to travel out of state at least once a year to meetings and/or events.
